2. Scope
This Policy applies to personal information we collect through the Studio HAKO marketing site, intake forms, support communications, and client service operations.
If you are an end customer booking with one of our client shops, that shop is primarily responsible for explaining its privacy practices to you. We process end-customer booking data on behalf of the shop as a service provider.
3. Information we collect
- Intake/application data: name, email, phone, business details, menu, hours, branding notes, admin credentials you choose to provide, and other form fields.
- Communications: emails, messages, and support records.
- Technical data: IP address, browser type, device information, access logs, cookies or similar technologies.
- Payment-related data: billing contact details and transaction references (payment card data is handled by payment processors, not stored by us when configured that way).
- End-customer booking data for client shops: names, contact details, booking times, and related notes entered in booking flows.
4. Purposes of use
- To review applications and provide Previews
- To build, launch, host, and maintain client websites and booking systems
- To send operational emails such as booking confirmations configured by the client
- To provide support, security monitoring, fraud prevention, and service improvement
- To comply with legal obligations and respond to lawful requests
- To send service-related notices; marketing messages only with consent where required
5. Legal basis & consent
We process information based on contract necessity, legitimate interests in operating and securing the Services, legal obligations, and consent where required (for example, when you submit the intake form or agree to optional marketing).
You may refuse to provide certain information, but we may be unable to provide the Preview or Services without it.
7. Retention
- Intake submissions: retained while evaluating the application and for a reasonable period thereafter for legal and operational records unless you request deletion subject to legal limits.
- Client account and booking data: retained while the Hosting agreement is active and for a limited period after termination to allow export and legal compliance.
- Logs and security records: retained for a period necessary for security and troubleshooting.
8. Security
We use reasonable administrative, technical, and organizational measures to protect personal information. No method of transmission or storage is completely secure.
You are responsible for safeguarding admin credentials and notifying us of suspected unauthorized access.
9. Your rights
Depending on applicable law, you may request access, correction, deletion, restriction, or explanation regarding your personal information.

End customers should generally contact the shop they booked with first; we will assist the shop as a processor where appropriate.
11. Children
Our Services are intended for businesses and are not directed to children under 16. We do not knowingly collect personal information from children under 16.
12. International transfers
Your information may be processed in Japan and in countries where our subprocessors operate. We take reasonable steps to protect information in accordance with this Policy.
13. Changes
We may update this Policy by posting a revised version with a new effective date. Material changes will be communicated by reasonable means.
